Privacy Notice

This notice explains what information the HUB Risk Services Portal handles, why it is collected, and how it is protected. This portal is an internal business tool; it is not a consumer-facing service.

Who this notice covers

This portal is maintained by HUB International for its Risk Services department. It applies to HUB personnel who are granted access by an administrator, and to the business information those users record about insured clients.

Information we collect

  • Account information: your name, work email address, role, and the date your access was granted.
  • Client records: company details, business contact names, titles, phone numbers, email addresses, and site addresses that you enter.
  • Consulting activity: activity notes, action items, best-practice checklist status, photos, videos, and documents you upload.
  • Usage information: basic technical logs needed to operate and secure the application.

How the information is used

Information is used solely to deliver risk services to insured clients: tracking consulting activity, coordinating follow-up items among the service team, and maintaining a record of safety and risk management recommendations. It is not sold, rented, or used for advertising.

Who can see it

All HUB personnel with portal access can view client records, activity history, photos, and documents, so that coverage does not depend on one individual being available. Action items are visible only to the person who created them. Administrators can additionally add and remove users.

Storage and security

Data is stored in a managed cloud database and file storage with encryption in transit and at rest. Access requires an individual account issued by an administrator; there is no public sign-up. Photos, videos, and documents are held in private storage and are not publicly accessible by URL.

Retention

Client records and consulting activity are retained for as long as the account relationship and HUB's records retention obligations require. When a user's access is removed, their login is deleted; activity they recorded remains on the client record as part of the service history.

Your choices and requests

Requests to access, correct, or delete information in this portal should be directed to your HUB Risk Services administrator or to HUB's privacy contact. Requests from insured clients are handled under HUB's client privacy program, not through this application.
